The Futuro Media Group is an independent nonprofit organization producing multimedia journalism that explores and gives a critical voice to the diversity of the American experience. Based in Harlem and founded in 2010 by award-winning journalist Maria Hinojosa, Futuro Media is committed to creating multimedia content for and about the new American mainstream in the service of empowering people to navigate the complexities of an increasingly diverse and connected world.

JOB DESCRIPTION:

The applicant must have a strong working knowledge of QuickBooks Online, Excel, as well as Google applications.  The ideal candidate will exhibit strong written and verbal communication skills, show close attention to detail, and perform tasks in a highly organized manner. Adept knowledge of and experience with nonprofit accounting processes and procedures preferred. Familiarity with the Zoho Expense Reporting program is a plus. This is a part-time, 20 hour per week, position reporting to the Sr. Finance Manager, and working closely with all departments at the organization.

DUTIES AND RESPONSIBILITIES:

  • A/P vendor profile set up within QBO and ensure a current W-8 or W-9 is on file electronically and attached to the profile in QBO
  • A/P entry of invoices and attachment of supporting docs within QBO
  • Enter, match and prepare credit card expense reports in Zoho for card holders, which includes accumulating all receipts per monthly statement and attaching them to their associated charge
  • Assist with annual 1099s verifications process, preparation and dissemination of tax statements
  • Processing biweekly A/P distributions from within QBO based A/P aging selections made by the Sr. Finance Manager
  • Inform and provide Sr. Finance Manager with all information needed for processing payments via QBO, PayPal or Chase wires 
  • Maintain FMG Finance shared drive e-filing of A/P supporting documents (i.e. invoices, contracts, agreements, W-9s and receipts if applicable)
  • Communicate with vendors as needed
  • Research and resolve any A/P issues found and/or informed of as needed
  • Update budget to actual Excel spreadsheets for department heads on a monthly basis
  • Assist Sr. Finance Manager with ad hoc A/P related reporting and research
  • Assist Sr. Finance Manager with board reporting on a quarterly basis and financial audit on an annual basis as needed
  • Attend weekly finance meetings as needed
  • Record and deposit checks
  • Other related tasks as assigned by Sr. Finance Manager

JOB REQUIREMENTS:

  • 2 years of experience in an administrative function
  • Strong Mac computer skills and proficiency in Google Suite
  • Strong attention to detail and excellent organization skills
  • Ability to manage multiple projects simultaneously
  • Excellent writing and communication skills
  • Friendly, professional, and outgoing demeanor
  • Excellent phone etiquette
  • Internet research abilities and social media savvy
  • Excellent typing skills
  • Interest in journalism and media a plus
  • Spanish language skills a plus, but not required
  • Must be comfortable working in an open office environment
